he Society's Archives received a grant from the New
Mexico Historical Records Advisory Board in 2000 for the rehousing
and description of its collection, which is housed at the New
Mexico State Records Center and Archives. When this work was
completed in March 2001, it became apparent that the development
of a set of guidelines and procedures for the evaluation of future
donations to the collection would be necessary. An Archives Collection
Policy Committee was formed in the spring of 2001. The members
of the Committee are Gunther and Geri Aron, Daphne Arnaiz-DeLeon,
Margrethe Feldman, Claire Grossman, Stan Hordes, Shirley Jacobson,
Phil Saltz, and Judy Basen Weinreb
The Committee has created a packet of resources that includes
collection guidelines and related materials. This packet details
the specific steps to be taken when potential donors approach
the society. These procedures |

are consistent with
professional archival protocols. As such, they will assist the
NMJHS Archive in its continuing collaborative relationship with
the New Mexico State Records Center and Archives. This collaboration
insures that all donations accepted by the Society are housed
in a safe and appropriate space, and will be available to researchers.
The procedures being established call for the Archives Collection
Policy Committee members to evaluate all future donations to
the collection based on the guidelines described below. Then,
recommendations to accept all or parts of a donation will be
forwarded to the Board of the Society, for final approval. When
a collection is accepted, appropriate Gift and Accession forms
will be filled out by the donor and the Society. The material
will then be processed according to the standards of a professional
Archive.
The NMJHS Archive Collection Policy Guidelines are as follows:
1. All documents will have both Jewish and New Mexican content
and significance. |

2. Preference will
be given to pre-1945 materials.
3. Only documents (photographs, correspondence, etc.) will be
accepted into the collection. Audio and videotapes are acceptable
media.
4. The New Mexico Jewish Historical Society has the right to
reject parts of a collection, which either duplicates materials
or does not fit the guidelines of the collection.
5. If it becomes necessary to deaccession materials from the
collection, every effort will be made to contact donors for appropriate
disposition, unless the donor waives this option at time of donation.
